Owner's APA transparency letter
A short, polite letter an owner or guest can send to the captain, manager and broker before a charter or season.

Copy this, adapt it, and send it on your own letterhead or by email. It is a normal and reasonable request.
To: [Captain] / [Management company] / [Charter broker] Date: [date] Re: [Yacht name]: transparency of spending and of any payments connected with it
Dear [name],
I would like to be confident that money spent on my behalf is spent in my interest, and that I know where it goes. To help with that, please provide, in writing:
- A list of everyone who receives a fee, commission or other benefit in connection with [my yacht / this charter], including brokers, agents, managers and any supplier arrangements, with the amount or the basis on which it is calculated.
- Confirmation that no supplier, yard or other third party pays, or provides any benefit to, any person involved in managing, crewing, chartering or provisioning the yacht in connection with orders placed on my behalf, other than as disclosed in answer to question 1.
- An itemised account of the APA [or operating expenditure] at the end of [the charter / each month], with copies of invoices, and showing any discount, rebate or credit received and where it has been applied.
- Quotations from more than one supplier for any single purchase above [€ amount].
- A copy of your written anti-bribery and gifts policy, and confirmation that all crew have read it.
I would be grateful for your reply by [date]. I am not suggesting any wrongdoing. This is how I would like my affairs to be run.
